Facilities Management (FM) Contracts

This service involves the review of the current FM service contracts and the compilation of all contract tender documentation for issuing as part of a competitive open market tender process. This can include compiling and reviewing of specifications, compilation of bespoke forms of tender which will be incorporated into an approved contract document and recommending and vetting suitable service providers. The service includes dealing with all queries and clarifications, detailed tender analysis, contract negotiations, post tender interviews and compilation of a contract placing report in accordance with RICS service charge code of practise. 

Service lines covered include M&E, security manned guarding, cleaning, reception management and catering. In addition we can incorporate all service lines within a total facilities management (TFM) package.


FM Audits

We can provide an audit of your current business facilities management practices and prepare a comprehensive written audit report of our findings, conclusions and suggestions for improvement or efficiencies.

We use inspection audit reports to quantify the quality and standard of the operations to include M&E, manned guarding, cleaning, front of house reception and catering services. These audits can be performed as standalone projects or in conjunction with our consultancy packages.


Service Charge and Budget Review

We can offer either landlords, tenants and managing agents a thorough and informed service charge budget review. We will analyse existing data to highlight high cost areas and poor value for money and will identify the potential for efficiencies, together with possible savings, whilst promoting a fair and transparent service charge.

Our service charge reviews provide recommendations for further action which can then be taken forward to explore and realise the opportunities to make changes in liaison with the managing agents, landlords and building occupiers.

The objective is that communications between tenants and managing agents are improved, service standards are challenged and that best value is achieved.


Operation Manuals and Property Management Manuals

The provision of good quality, consistent property management manuals is essential for both ongoing operational properties and during the transition of new developments. As a minimum example we would recommend the following guides:

Tenant Fit out Guide (including sub metering requirement)

The purpose of this guide is to provide tenants with practical advice and information relating to procedures for obtaining the landlord’s consent to carry out tenant work (either fitting out prior to occupation or subsequent alteration during the tenancy). It will include matters that will affect tenant’s designs and factors that need to be taken into account in planning and carrying out tenant works. It will also cover restrictions that will be imposed by the landlord in respect of design or implementation. 

House Rules and Regulations 

Provides details of all building policies, safety rules and regulations to be adhered to by any contractors working in the building including tenants and their contractors .The process for obtaining permit to work will be included in this guide.

Management Guide 

The purpose of this guide is to provide tenants with practical advice and information relating to day to day property management matters. It will cover all operational matters including the building security, reception management, operating hours, loading bay procedures plus deliveries and couriers etc.
